Services Provided
PROMOTO provides a comprehensive range of event management and marketing services, including but not limited to:
- Venue Selection & Booking: We assist you in identifying and booking the ideal venue that aligns with your event’s theme, size, and budget.
- AV Production & Design: Our team delivers top-tier audio-visual production, including sound systems, lighting, stage design, and multimedia presentations to enhance your event experience.
- Entertainment & Activities: We curate entertainment options and interactive activities that resonate with your event’s purpose, ensuring an engaging experience for all attendees.
- Catering & Beverages: We offer customized catering services, including menu planning, food preparation, and beverage selection, ensuring a delightful culinary experience.
- Marketing & Promotion: Our marketing services encompass event branding, digital and print advertising, social media campaigns, and public relations to maximize your event’s visibility.
- Corporate Gifting: We provide personalized corporate gifts that leave a lasting impression, tailored to reflect your brand’s identity and values.
- Artists Management: Our artist management services include booking, negotiating, and coordinating performances by musicians, entertainers, and speakers.
- Celebrity Management: We facilitate celebrity appearances and performances, handling all logistics and negotiations on your behalf.
- Films & Photography: Our professional photographers and videographers capture the essence of your event through cinematic films, candid shots, and high-quality images.
Client Responsibilities
To ensure the successful execution of your event, you, as the client, agree to the following responsibilities:
- Accurate Information: Provide accurate and comprehensive details regarding your event, including but not limited to the date, time, location, guest count, and specific requirements for each service.
- Adherence to Deadlines: Timely submission of necessary information, approvals, and payments is critical to the smooth execution of services.
- Compliance with Venue Policies: Ensure that all event activities comply with the rules and regulations of the chosen venue, including capacity limits, noise restrictions, and safety protocols.
- Permits and Approvals: You are responsible for obtaining any required permits, licenses, or approvals necessary for your event. PROMOTO can assist with this process upon request, but ultimate responsibility lies with you.
- Communication: Maintain open and prompt communication with PROMOTO regarding any changes, updates, or concerns related to your event.
Payment Terms
Our payment terms are designed to protect both parties and ensure the smooth delivery of services:
- Booking Deposit: A non-refundable deposit is required to confirm your booking. The deposit amount will be specified in the service agreement and is necessary to secure your event date.
- Payment Schedule: The total service fee will be divided into installments, as detailed in the service agreement. Payment milestones may include an initial deposit, interim payments, and a final payment due before the event date.
- Final Payment: The remaining balance must be paid in full before the event date unless otherwise agreed in writing. Failure to make the final payment may result in the cancellation of services.
- Accepted Payment Methods: We accept payments via bank transfer, credit/debit card, and other methods as specified in the service agreement. Any transaction fees are the responsibility of the client.
- Late Payment: In the event of late payment, PROMOTO reserves the right to charge a late fee, suspend services, or cancel the agreement. The late fee rate will be outlined in the service agreement.
- Cancellation and Refunds: If you need to cancel your event, please notify us in writing as soon as possible. Cancellation fees will apply based on the timeline and services already rendered, as specified in the service agreement.
Usage Restrictions
PROMOTO’s services are provided under specific terms and conditions to ensure fair usage:
- Authorized Use: Our services are provided exclusively for the event specified in your agreement. Unauthorized use, replication, or extension of services beyond the agreed scope is prohibited and may result in additional charges or legal action.
- Intellectual Property Rights: All content, designs, materials, and intellectual property created or provided by PROMOTO remain the exclusive property of PROMOTO. Clients are granted a limited, non-transferable license to use these materials solely for the purpose of the agreed-upon event. Any other use, reproduction, or distribution without express written consent from PROMOTO is strictly prohibited.
- Confidentiality: Both parties agree to maintain the confidentiality of proprietary information shared during the course of the agreement. This includes, but is not limited to, event concepts, business strategies, client lists, and financial details.
Limitation of Liability
PROMOTO’s liability is limited to the extent permitted by law:
- Service Outcomes: While PROMOTO strives to deliver high-quality services, we do not guarantee specific results or outcomes. Our liability for any claim arising from the provision of services is limited to the amount paid by the client for those services.
- Third-Party Vendors: PROMOTO may engage third-party vendors to provide certain services. While we take care in selecting these vendors, we are not responsible for their actions, omissions, or the quality of their services. Any disputes with third-party vendors must be resolved directly with them.
- Event Disruptions: PROMOTO is not liable for any delays, disruptions, or cancellations of events due to factors beyond our control, including but not limited to natural disasters, government actions, public health emergencies, or other force majeure events.
- Indemnification: The client agrees to indemnify and hold harmless PROMOTO, its employees, agents, and affiliates from any and all claims, damages, liabilities, and expenses arising from the client’s breach of these terms and conditions or any negligent or wrongful act by the client or their representatives.
Dispute Resolution
In the event of a dispute, PROMOTO and the client agree to the following resolution procedures:
- Governing Law: These terms and conditions are governed by and construed in accordance with the laws of the jurisdiction where PROMOTO is registered.
- Negotiation: Both parties agree to attempt to resolve any disputes through informal negotiation before pursuing formal legal action.
Amendments and Updates
PROMOTO reserves the right to amend these Terms and Conditions at any time. Any changes will be communicated to you in writing or via our website and will take effect immediately. Continued use of our services following any such amendments constitutes acceptance of the revised terms.
